A module of the Bike-Service-Portal
Full-Service Returns Management for Bicycle and E-Bike Manufacturers
We close the gap between online sales and professional on-site quality assessment. As the manufacturer’s extended eyes, we enable fast, precise assessments as a sound basis for purchase price reductions on damaged returns.
The module in numbers
Every return follows the same system
Checked against a fixed checklist, sorted into clear grades and documented in the portal. From collection to restocking.
The Situation
Returns are the most expensive part of online retail
In direct-to-consumer sales, returns are a major operational and financial burden. Three problems recur at almost every manufacturer.
Delayed inspection
Returned bikes sit in the warehouse unexamined. Until someone inspects them, their condition is unknown and their value is frozen.
Incomplete diagnoses
Without a technical check of battery, motor and frame, it remains unclear what a bike is still worth and what repairing it would cost.
Subjective condition reports
Without objective criteria, every price reduction is open to dispute. Settling it with the customer costs time, money and reviews.
The Process
From customer notification to restocking
Five steps, one system: every return runs from goods-in to restocking as a single continuous case, documented in the portal.
Collection
Nationwide collection of the returned bike and transport to our service centres and partner workshops.
Incoming inspection
Unpacking immediately on arrival. Visual inspection of packaging, frame and components, diagnosis of battery and motor.
Classification
Grading by the 20-point checklist into Type A, B or C, with photo documentation in the portal.
Refurbishment
Cleaning, minor repairs and removal of cosmetic defects, depending on the bike’s grade.
Back on sale
Secure packaging, restocking or shipment to the destination of your choice. Ready for re-commerce.
Objective Assessment
The 20-Point Checklist
Every bike goes through the same inspection. Instead of an impression, this produces a verifiable condition, documented against the serial and frame number. Purchase price reductions can be justified cleanly on this basis.

Classification
Every return receives one of three grades
The grade decides the bike’s onward path and makes handling predictable for everyone involved.
New goods / resale
No defects or only minor ones. After inspection and repackaging, the bike goes straight back into sellable stock.
Refurbishment / repair
Repairs or refurbishment required. Once restored, the bike can be sold again as B-stock or refurbished.
Scrap / disposal
Irreparable damage. High-value components such as the motor, battery or drivetrain parts are removed, inspected and reused as spare parts. The rest is disposed of properly, and the case remains documented in the portal.
Bike-Service-Portal
Every return traceable in real time
Photo documentation, inspection reports and status history are attached to the serial and frame number. The manufacturer sees every case from goods-in to final assessment, without having to ask.

The screenshots show an earlier state of the interface. The design is continuously developed further; the functions shown are unaffected.
Why it pays off
A cost block becomes a process
A structured returns process brings relief in three places at once: money, staff and the value of the goods.
Fast financial settlement
Verifiable condition reports enable prompt, legally sound purchase price adjustments without drawn-out customer disputes.
Relief for internal resources
The manufacturer’s support and logistics teams are freed from time-consuming physical inspection work.
Maximum re-commerce value
Professional grading and short turnaround times enable quick resale as B-stock.
Already in use: the returns management module is running successfully at Llobe / Denverbikes.
Who it is for
Built for brands that do not want to handle returns themselves
The module is aimed at manufacturers and brands whose returns tie up operational capacity that is missing in the core business.
Direct-to-consumer brands
Sell online across the country but have no workshop structure of their own for inspecting returns.
Manufacturers with a growing online share
With every percent of direct sales, returns grow too. Support and logistics should sell, not turn wrenches.
Brands with a B-stock business
Anyone reselling refurbished bikes needs verifiable condition reports and short turnaround times.
